Before you can begin using the Medicare e-Claim facility, you must:
| 1. | Contact the Office of Hearing Services and notify them of your intention to use the facility |
| 2. | OHS will provide documentation and instructions |
| 3. | Prepare a test batch file for OHS and Medicare to test |
Once you have submitted a test batch file, OHS will provide you with a username and password and instructions for using the web site
To prepare a test batch file:
| 1. | Generate a new claim (or use an existing claim) for a client. Before creating the claim, go to Client Details|OHS and make sure the OHS Voucher Number has been fully completed, including the voucher issue date e.g. 123456789W-01072000. This is essential! When creating a claim you keep it simple: |
| • | Have the Service Date, Authorised Person Signed and Client Signed dates no later than the current date (i.e. not in the future) |
| • | Have only one or two items |
| • | Make sure the Service Date for each item is after 1 July, 2000 |
| • | When the claim has been completed and saved, click the Send to e-Claims Pending button |
| 3. | If everything looks in order, click the Prepare Batch in the Program Navigator (if not, go back to Step 1). The claim should all disappear from the Pending list |
| 4. | Open Windows Explorer and move the file called EClaims.txt from the ..\EClaims folder into your My Documents folder. This is your e-Claim test batch file. We recommend that, before you e-mail it to OHS, you should e-mail it to HearSoft first, so that we can make sure everything looks OK. The easiest way to e-mail the file is to |
| • | Right-click on it and choose Send To|Mail Recipient from the pop-up menus |
| • | Type support@hearsoft.com.au in the To box |
| 6. | The final step is to reset the Batch Log and remove the batch file. To do this click on Tools|Reset Batch Log and follow the prompts |
