HearAid Version 6.0.1.2015

Modified/Fixed in this update:

The Device Quote form has been extended to allow users to generate quotes for non-HSP clients

Document storage has been modified so that moving HearAid to a new server will not break the links to external files; linking to a file not already contained in the Documents folder will automatically copy the linked file

The Client Summary report now includes Documents and Test Reports

3FAHLs in Client Details did not appear to update consistently after importing NOAH data

New in this update:

A new Import from iCalendar File option has been added to the Options menu in the Calendar. This function will import events from a standard ICS file into the currently selected Calendar Resource and should prove useful to users who have on-line booking systems where they can export appointments into an ICS file

A new Connections function has been added to the Help menu - the function lists the User Names of other current connections to the HearAid database

A new INTERFACE_LOG table has been added to the database in preparation for the new high performance accounts interfaces to Reckon (completed), QuickBooks Online and Xero (under development)

HearAid Version 6.0.1.2013

Modified/Fixed in this update:

The Merge tool will display client information correctly for clients with missing addresses

HearAid Version 6.0.1.2012

New in this update:

ACCESSORY has been added to the Device Style list. Devices coded as ACCESSORY will be picked up in the HSP Device Quote form Accessory look-up list

Modified/Fixed in this update:

Integration with the on-line Help has been completely overhauled; Help has been updated

HearAid Version 6.0.1.2010

New in this update:

A new option to add Client Type to the pre-defined data entered into the appointment Notes; this option can be set by checking the Client Type box in Tools|Options|Calendar|Calendar Notes Content

Users can add BSB, Account Number and Account Name fields to Practice & Provider data which can then be incorporated into payment options in Auto Mainenance and HSC Letter templates. This is an optional extension and the script for modifying the database is provided in the ..\Tables folder

New HSP Client Relocation Consent Form and HSP Private Services and Devices Acknowledgement templates have been added to Quick Forms

Modified/Fixed in this update:

An error triggered caused by trying to lookup the obsolete "Code" field in the TIERS table when selecting a Device Category in Claims.

Device amounts for Non Standard (NS) category devices were not being retrieved when entering data in Claims and Device Quotes.

Saving changes to database defaults from Tools|Default Values can now only be performed by users with Administrator privileges.

HSP no longer includes Device Categories in claim batches and so the Device Category fields have been removed from the Claims page. Users should ensure that the correct Device Category is allocated to all devices, including Top-Up (partially-subsidised) devices and the Device Category will be automatically retrieved when printing Claim forms. This change also corrects strange behaviour when an NS device was added to the left ear first.

Strange behaviour in Device Quotes when an NS device was added to the left ear first.

Program logic has been refined to reduce the number of irrelevant warnings that could be triggered when saving claims.

Client lists used in the Select Client look-up box are refreshed before each look-up, to ensure that clients added in the Calendar, or by users on other computers, will appear in the look-up. This change does add a small, split second delay when the user begins typing but that minor penalty is outweighed by reduced frustration caused when newly-added clients are missing from the list!

The Devices work-area did not display correctly when first accessed.

HearAid Version 6.0.1.2008

New in this update:

A new option to Lock Notes has been added to Tools|Options|Database|Server. Setting this option means users cannot modify a note more than 3 days after it was created

A new Client Summary template will include any image documents (BMP, JPG/JPEG, PNG images) stored in the database

The Document Path editor in Documents has an added button which simplifies importing an exernal image document into the database if the path links to a .BMP, .JPG/.JPEG or .PNG file. This function is designed to assist with preparing a Client Summary when a HSP client relocates. Images can still be imported by right-clicking in the Viewer pane and choosing Load from the pop-up menu.

The process for managing device codes when preparing quotes and claim batches has been refined. A number of users have more than one device sharing a common device code, others have inadvertently added spaces at the end of the device code when entering a device in Lists|Devices, which has caused batches containing those device codes to be rejected by the HSP claiming system. HearAid will now strip any non-alphanumeric character/s from the end of device codes when preparing claim batches thereby avoiding a problem with batches failing to upload properly when there are non-standard device codes. This means that users can now deliberately distinguish between devices that share a device code by attaching non-alphanumeric characters such as *, !, #, etc to the end of a device code so that Quotes do not print multiple pages and the correct device is referenced when needed.

The new HSP Client Relocation Form has been implemented in Quick Forms

Modified/Fixed in this update:

The Process HSP Maintenance Claims window has been modified to display the voucher expiry date. The highlighting of claims where the service date is after the voucher expiry date has also been refined.

A new validation check has been added to the Send To Pending function in Claims to issue an error message when the voucher stored with the claim has expired before the service date and the claim will not be sent to Pending. Please note: under the terms of the HSP contract, contractors have agreed they can only submit claims where the client has a current voucher on the date the service was provided

When editing a claim that is not Paid, Pending or Processing, the voucher number on the claim is compared to the voucher number in Client Details and HearAid will offer to update the claim with the new voucher number if the voucher number in Client Details is newer

Revised HSP Device Quote SQL and template to correct weird behaviours. The new template will automatically change "Battery & Maintenance" to "Replacement Fee" for 840 and 850 items

"Cannot covert variant type (Null)..." errors in the HSP Device Quote form have been corrected

Fixed logic error in Auto Maintenance confirmation dialog if claims are being printed for clients with expired vouchers

Removed the Reset Batch Log function, as HSP no longer required users to submit a test batch

Appointment Reminders reinstated - they had been unintentionally deactivated

Saving a Claim form in Documents did not correctly combine items with the same service date

Documents linked to PDF files did not always display the PDF file correctly

New in previous 6.0.1.x updates:

A new Deactivate Devices Last Fitted More Than 5 Years Ago option has been added to the pop-up menu attached to the devices list in Lists|Devices

A new HSP Device Quote window has been added. The function is based on gathering device information (HSP Pays, Client Pays, Dispensing Fee, Maintenance Fee) from claim fitting item numbers, as well as accessories which do not have a Device Code.

Users can prepare their own Terms & Conditions document to be picked up automatically (\HearSoft\HearAid 5.0\Reports\Forms\HSP Device Quote Form.rtf), and save an image of the quote in Documents. Users can also modify the report template if required. This addition requires a new data table to be added to the database, which will be handled automatically the first time the update is run by SYSDBA.

Pricing information is picked up from the data stored in Lists|Devices, using the Price: Monaural for Accessories and Price: Monaural Top-Up, Price: Binaural and Price: Binaural Top-Up for devices with Device Codes

Appointments can be exported to an iCalendar file, which can then be imported to Apple and Google calendars

Auto Maintenance Auto-Claim Options has a new item Create Claims With Expired Voucher Numbers. Users can choose to create claims for clients with expired vouchers, but need to be aware that the claims will be rejected unless/until there is a new, current voucher number entered for the claim

Resolution of known issues since the first release

HearAid Version 6.0.1.1

New in this update:

Implementation of the new Hearing Services Program claiming system. Batch files no longer need to be uploaded in sequence, so under the new system batch files - which are CSV format files - will be named nnn.csv (where the nnn is the batch number) and users simply upload the batch file with the highest batch number. HSP will email you to notify you of the success or failure of the batch upload, together with the Batch Reference Number, which can then used to identify the batch file when downloading the response file. Resonse files can normally be downloaded immediately. You can also log back into the Portal and download response files at any time. Response files must be saved into the EClaims\Response Files folder. The reconciliation process remains unchanged.

Minor CSIDs and Authentication files are no longer used. Use of the MINOR_CSIDS table has been discontinued, with the Default Site, Default Practitioner and Default Authorised Person settings transferred to the Practice & Providers table in Lists

Batch files can be recreated from the Batch Log by selecting a batch record, right-clicking on the Log table and selecting Recreate Batch File from the pop-up menu. A file named will be named nnn.csv (where nnn is the batch number) will be created in the EClaims folder. This function will be useful in situations where batch files "go missing"!

A Recipients window displays when running a script from the Quick Reports|SMS menu, giving users the opportunity to check the recipient list before proceeding with sending the messages

Calendar events can now be allocated a specific location (which can be empty, or different from the Location linked to the calendar resource for the event)

Notes and Clinical Reports templates can now merge any of the fields in the Clients table; enclose the field name in square brackets to create a merge field e.g. [TITLE_NAME] will pick up the client's Title Name

Scanned signatures can now be stored for Practitioners & Staff, similar to the existing Authorised Persons capability, and printed in clinical reports

A new Save to Documents button on the Claims work-area toolbar. This button will print the currently selected claim item to a PDF document in the Scanned Documents folder and insert a link into the Documents table. The naming convention for the Document Description is "Claim: nnn - dd/mm/yyyy" where nnn is the Item number and dd/mm/yyyy is the service date of the claim

Modified in this update:

Formatting names in Client Details now matches behaviour in 5.0.5.x and allows all-upper-case names

There is a new option in Tools|Options|General to switch on/off phone number validation and formatting. Switching off phone number validation will allow entry of New Zealand phone numbers, or numbers containing letters, without generating an error

Relocation code and date have been moved into the Hearing Services Program section in the default Client Details card layout

Gradient Colours is the new display default for events in Calendar

The Delete button has been removed again in the Calendar Event Editor

A bug which prevented selecting a client from the Select Client list using the keyboard if the lookup list was set to display the client name rather than the look-up code, has been fixed

Various code optimisations aimed at improving execution speed and code maintenance

711/722 items were not updating Maintenance Date and Maintenance Expiry dates in Client Details when they were sent to Pending

Changes to user passwords were not saving correctly
